How to track your goals with OKRs

Every organization, small or big, has to make sure that everybody is on the same track in order to reach their goals. Vision needs to be mapped to strategy, strategy to concrete goals which everybody inside the organization is aware of. OKRs is one of the frameworks that helps organizations to achieve it and there is a number of big companies (Google amongst them) that are successfully using it to navigate their growth.


OKR stands for Objectives and key results and means exactly that. The main idea is that you set a goal (or an objective) you want to achieve and set a list of key results which are required to achieve it. There is one important thing about the key results: they have to be measurable. “Increase the number of customers” is not a good example, as it is hard to tell if the key result was achieved - is it enough to get one more customer? Then your key result is “Increase the number of customers by one”. Or do you want to increase the number by 10%? Then your key result is “Increase the number of customers by 10%”.


After you set those OKRs, well, there is nothing less to do than to work on them (which only you have knowledge and expertise to do) and track them to see if you are going in the right direction (which Lumeer can help you with). Let’s do it!


If you are not familiar with Lumeer’s basic concepts such as organizations, projects, collections or attributes, you may find this article with basic principles helpful.


We start with collection with employees to whom we are going to record their objectives.




Right now we need just their names, so we hide all the other columns:




First, we define the objectives. They are more general statements and aren’t measurable (as opposed to SMART goals) - we get to that with key results. We create a separate collection for them and then use linked records to connect objectives to managers:




Next, we define key results for each objective in separate collection. We again use linked records:




Every key result has its goal and current status and we can use them to calculate progress. If you used to work with Excel, you are probably familiar with the functions. Lumeer lets you define functions for the whole attribute (column), but it’s certainly more fun to do it than with Excel - right click on the name of the column, click on “Edit function” and see for yourself!




Instead of literally writing the function, you build it in Lumeer’s visual designer (detailed manual on functions will help you with that):




And there it is: the progress calculated from Goal and Current columns. However, it doesn’t look very appealing, so we customize attribute type to Percentage to get a much nicer look:




So now we have progress on key result calculated, but what about objectives? Let’s also see their progress! We decided to calculate it as an average progress of its key results. You may be wondering: we calculated key result progress from columns in the same collection, but objectives are in different collection, so how can they use progress column from key results? Well, visual designer can handle it:




We polish the values look with percentage format same as we did it with before:
